Faculty & Staff Email (FASmail) is UBC native email service for all active faculty and staff. It sends and stores emails on Canadian servers, which ensures that your data is compliant with federal and UBC information security standards. FASmail offers email and calendar services, and they work together to provide a comprehensive experience across desktop, online, and mobile platforms.
What can FASmail do?
With FASmail, you can:
- Access a comprehensive list of UBC faculty and staff in one address book.
- Delegate mailbox and/or calendar access to other FASmail users.
- Store up to 5GB of data in the mailbox and calendar.
- Send classified and sensitive information via email while remaining compliant with federal and UBC information security standards.
- Create mailing lists for changing groups of recipients, such as teaching or research assistants.
- Look up availability of and book meeting rooms, equipment, and other material.
- Schedule meetings based on availability and accept or decline meeting requests.
UBC FASmail is supported by Arts ISIT and comes with built-in virus protection and spam prevention. If you have any questions on how to use or set up FASmail, please visit us in person at the Help Desk or message us through the contact form.
How do I get a FASmail account?

A detailed list of FASmail service types and their descriptions can be found on the FASmail Service Request Web Form. The most commonly used services include:
User Mailbox
- Perfect for managing work-related e-mails.
- Uses a “cwl_username@mail.ubc.ca” or “firstname.lastname@ubc.ca” email address.
- 5GB mailbox.
Generic Mailbox
- Useful when you want more than one user to manage the mailbox.
- Role-based (e.g. research assistants) or service-based (e.g. help desk) accounts that can be accessed by one or more users.
- Generic mailbox can easily be accessed via your web browser by following this guide.
Mailing List
- Mailing Lists can be used to sharing information among a group of users via email.
- The mailing list is condensed into one email address.
- Once an email is sent to the list, all of the added members will receive a copy of the email.
Resource Mailbox
- Resource Mailboxes allow FASmail users to book meeting rooms and equipment.
- Register a resource mailbox for a specific room or piece of equipment and manage booking/loan requests through the mailbox.

Protecting Your Information
Follow these steps to ensure that your email information is protected from security risks and threats.
- Avoid clicking on suspicious and/or spam links. Arts ISIT will never ask for your password through email.
- Avoid forwarding emails to third-party mailboxes, such as Gmail, Hotmail, or Yahoo.
- Remember to log out of the mailbox after using it.
- Create a secure and complicated password. Do not share your password with anyone. (See UBC IT’s guides on How to Create a Secure Password and Where to Safely Store Your Passwords.)
- Back up and encrypt your data.
- Set your computer to automatically lock up when you have stepped away from it.

Creating a Signature
Windows
1. In a new email message, click on the “Signature” button, and then “Signatures…”
2. Click on “New,” and then enter a name for the new signature (e.g. “FASmail,” “UBC,” etc). Click “OK” to start creating your signature.
3. Here you can edit and format your signature. On the left side, you can set your signature as the default for your FASmail account.
Mac OSX
1. Open up a new email, then click on “Signature” followed by “Edit Signatures…”
2. Create your signature in the white box on the right side.
- Uncheck the white box under “Random.”
- Edit your signature as desired.
- Create more signatures by clicking the “+” sign in the bottom-left corner.
- Click on the red circle in the top-left corner to save and close signature settings.
3. To add a signature to your email, click on the main message window (where you type your email), then click on “Signatures” and select the signature you want.
4. To set a default signature, click on “Edit Signatures…” (as seen in the diagram above) to bring up the signature setting box.
1. Open the Mail Application. Click on “Mail” in the top menu bar, and then click “Preferences…”
2. In order to create a new signature for your FASmail account, click on “Signatures,” “Exchange”, and then “+.” Edit your signature in the right-most panel (see #4).
3. To set that signature as the default, click “Choose Signature” and select the one you want. Close the signature editor once you are done.

Phones
You can remotely wipe your phone using the FASmail Web App if you had FASmail set up on your phone. To begin remote wipe, contact Arts ISIT, or do it yourself by going to web app and then Options -> See all options -> Phone.
Computers
If your computer has been stolen or lost, contact Arts ISIT as soon as possible to learn about available solutions to keep your information safe. Unfortunately, you cannot remotely wipe your email from a computer. Always encrypt your data to keep it safe!
